Position Summary: The Junior Executive Administrative Assistant provides administrative support to the Chief of Staff by managing and coordinating calendars, heavy travel and logistics for the Office of the CEO, performing clerical functions such as preparing correspondences, detailed travel itineraries, reviewing flight invoices, assembling and submitting expense reports. Along with maintaining, ordering, and tracking supply inventory for the team. Must be able to work in a fast-paced environment, and work well within a team setting.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Provide assistance to the Chief of Staff, Chief Operating Officer, EVP of Corporate Strategy and Development and other senior executives as needed. Close coordination and communication with CEO's Executive Assistant team is imperative.
  • Arrange and coordinate aircraft, flights, lodging, ground transportation, and activities, as requested. Prepare agendas and schedules for meetings, related to travel.
  • Assist other departments as needed, including event and project management.
  • Answer and transfer phone calls, screening and taking messages when necessary.
  • Welcome and direct visitors and clients.
  • Retrieve information as requested from records, email, minutes, and other relateddocuments;prepare written summaries of data when needed.
  • Type correspondences, reports, memos, letters and other documents.
  • Maintain filing systems and supply inventory as needed and retrieve corporate documents, records and reports.
  • Open, sort and distribute incoming correspondence, including faxes and email.
  • Review flight invoices.
  • Prepare and complete expense reports each month.
  • Respond to and resolve administrative inquiries and questions.
  • Handle other responsibilities and duties, as assigned in a timely manner.

EXPERIENCE & EDUCATION

The successful candidate will possess a solid administrative background, and the ability to positively engage with team members across a diverse background. Additionally, the ideal candidate should possess the following:

  • Associate'sDegree required, Bachelor's Degree preferred.
  • Minimum of three (3) years of related work experience in an administrative support, travel agency, or concierge customer service role is required.
  • Previous invoice factoring and/or financial services experience is a plus.
  • Intermediate to advanced skills in Microsoft Office Products: Excel, Word, Outlook, and PowerPoint - Experience in Office365 is a plus.
