The department of Athletics at West Virginia University is currently accepting applications for an Assistant Director of Facilities & Operations.

About the Opportunity

This position is responsible for daily facility operations and event management operations for various facilities and varsity sports (including, but not limited to women's soccer, gymnastics, baseball, rowing and golf). Assists in game day operations for football. Oversees various facilities as well as the coordination of all camps and interns/student volunteers.

What you'll do:



  • Manages game day operations for various facilities and varsity sports (women's soccer, gymnastics, baseball, rowing and golf). Assists in coordinating and overseeing concessionaire, custodial services, event staff services, training staff, maintenance staff, electronics staff, athletics communications and marketing, regional/national television (if applicable), emergency medical services, police staff (WVU Police, Morgantown City Police, Mon Country Sheriff, West Virginia State Police if applicable), equipment staff, WVU Facilities Management staff (electricians, plumbers, HVAC technicians, etc.), Morgantown Fire Department (if applicable), Department of Highways (if applicable), and WVU Marching/Pep Band.
  • Assists in managing game day operations for various facilities and varsity sports (football). Assists in coordinating and overseeing concessionaire, custodial services, event staff services, training staff, maintenance staff, electronics staff, athletics communications and marketing, regional/national television (if applicable), marketing, emergency medical services, police staff (WVU Department of Public Safety, Morgantown City Police, Mon Country Sheriff, West Virginia State Police if applicable), equipment staff, WVU Facilities Management staff (electricians, plumbers, HVAC technicians), Morgantown Fire Department (if applicable), Department of Highways (if applicable), and WVU Marching/Pep Band.
  • Responsible for writing all game protocol/timing sheets for applicable home events which are integral to game operations. This includes pre-game timing, officials' meetings, national anthem, pre-game introductions, adjustments for televised events, official tip-off time for event, overtime procedures, and timeout procedures. Requires coordination with television production for televised events.
  • Provides event management for any post-season tournament such as conference championships, NCAA, etc. Assists in coordinating event representatives (conference staff, NCAA, etc.), concessionaire, custodial services, event staff services, training staff, maintenance staff, electronics staff, sports information, regional/national television (if applicable), marketing, emergency medical services, police staff (WVU Department of Public Safety, Morgantown City Police, Mon Country Sheriff, West Virginia State Police if applicable), equipment staff, WVU Facilities Management staff (electricians, plumbers, HVAC technicians), Morgantown Fire Department (if applicable), Department of Highways (if applicable) and WVU Marching/Pep Band. Serves as site representative as needed for such national, post-season events.
  • Responsible for all camps oversight and coordination held in athletics facilities including, but not limited to, scheduling, work orders, utility billing, etc.
  • Responsible for all student intern/event volunteers coordination including, but not limited to, scheduling, training, managing, etc.
  • Coordinates project management for certain renovations projects. Assists with daily facility management such as work orders and closed circuit camera system.
  • Writes policy and procedures for the visiting teams for all sports, including but not limited to, visiting team guides (schedules deadlines, create content, etc.), visiting team practice requests and visiting team game day coordination.
  • Assists in maintaining key control and online/offline card access system for all facilities investment (over $500,000 equipment investment to date). This maintenance requires specialized training for operation and troubleshooting.
  • Oversees all game day Mountaineer Field at Milan Puskar Stadium signage needs for home events. Includes tracking of signage, general updates, temporary signage, directional signage and processing of payment for such services.
  • Oversees all of the department's sustainability initiatives. Includes all gameday recycling efforts as well as daily building sustainability efforts. Coordinates with the campus sustainability office.
  • Coordinates all closed captioning with outside vendor for all home stadium and arena events. Works with procurement to bid contract as needed.
  • Assists in developing and maintaining accurate and proper scheduling of all Athletics facilities. Assists in communicating and coordinating this schedule within the Department and other university units and outside organizations requesting use of the facilities. Serves as direct liaison with all visiting women's soccer, gymnastics, baseball, rowing and golf teams for visiting team hospitality (e.g., facility directions, scheduling practices in our venues, hotel recommendations).

Qualifications

  • Bachelor's degree in sport management, sport administration, education, liberal arts, communications, business or related field required.
  • Minimum of three (3) years of experience in athletic professional or intercollegiate athletics operations or related field, preferably football, basketball, volleyball, soccer, wrestling, gymnastics, baseball, track, swimming, or related sports.
  • Any equivalent combination of related education and/or experience will be considered.
  • All qualifications must be met by the time of employment.


Knowledge, Skills and Abilities



  • Maintain high standard of ethics and integrity related to intercollegiate athletics.
  • Demonstrated knowledge of Division I intercollegiate athletics preferred.
  • Demonstrated knowledge of athletic facilities scheduling and event management.
  • Demonstrated knowledge of athletic event game day management and operations, specifically football and basketball
  • Knowledge of University keying systems and online/offline card access systems preferred
  • Demonstrated knowledge of athletic facility operations and maintenance
  • Ability to rapidly acquire knowledge of turf grass management and grass field maintenance
  • Strong working knowledge of NCAA regulations and guidelines and ability to apply and enforce those rules.
  • Ability to rapidly acquire knowledge of NCAA and conference policy and regulations with the ability to interpret, apply and explain such policies and rules.
  • Exhibit strong creative, organizational and interpersonal skills.
  • Demonstrated knowledge of correct English, grammar, spelling, punctuation and sentence structure
  • Demonstrated ability in public speaking skills.
  • Demonstrated ability to function professionally under high stress and confrontational circumstances.

  • Demonstrated ability to quickly learn University and department policies and procedures.
  • Ability to stay abreast of information impacting the affected area.

  • Demonstrated ability to organize and motivate groups and individuals.
  • Ability to maintain proper unit attendance and punctuality standards, work extended hours including nights and weekends (often with extensive walking and standing).

  • Ability to rapidly learn all policies and procedures impacting the affected area.
  • Ability to function as a liaison for Athletics with several administrative departments within higher education and at the conference and national level.
  • Ability to make administrative / procedural decisions and judgments.
  • Compliance with NCAA and Big 12 Conference rules and policy. Failure to understand and adhere to rules could have significant impact on the University and athletic program.
