Under general direction of the Utilities Director, provide the highest standard of customer service to the campus community by addressing issues and concerns in a courteous, professional manner. Act as the primary point of contact for the Utilities technicians and supervisors. Provide reports in support of the Utilities System costs and fiscal accountability. Create work task and purchase orders as needed. Route all tasks to appropriate Utilities unit. Manage all tasks from creation to close-out. Create and approve inventory and material needs. Process emergency and urgent work tasks. In addition, provide customers with status of all emergency, urgent and routine work inquiries. Assist in coordinating preventative maintenance project schedules. Serve as high-level support for the division management, supervisors, and planning group. Keep department organizational charts, material inventory, uniform database, vehicle assignments, radios, phones and phone lists up to date.

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position
- Required to hold a valid California driver's license, have a driving record that is in accordance with local policies/procedures, and/or enroll in the California Employer Pull Notice Program
- Bachelor's degree in related area and/or equivalent experience/training.
- Experience with the various construction trades, their tools, and appropriate field personnel, to estimate the labor and materials needed to perform routine services ranging across repairs, preventative maintenance and projects.
- Experience with database management systems, and have the ability to retrieve and analyze information to form detailed and comprehensive reports.
- Experience in fundamental financial management practices and generally accepted accounting principles, policies and procedures including: accounting, inventory, purchasing, accounts payable, general ledgers, inter-department billing, and automated financial systems.
- Strong analytical skills to analyze work tasks, workload, historical data and make recommendations to management.
- Knowledge of good customer service practices and the ability to make exceptions to normal business practices to resolve customer needs efficiently and effectively. Including addressing problems/complaints, or service issues.
- Skill to provide statistical information on purchasing trend and cost increases.
- Ability to communicate effectively to a wide variety of audiences including customers, peers, tradesmen, and outside agencies skills.
Preferred Qualifications
- Experience working with Detailed workflow processes and procedures.
- Experience working with all areas of utilities services.
- Experience with department/campus automated financial systems such as Aggie Enterprise.
- Knowledge of campus infrastructure systems maintained by Facilities Management operations.
- Knowledge of TRIRIGA Workplace Management.
- Skill to use a computer for word processing, spreadsheets, research, graphs and analysis, and communications.
- Organizational skills.

Department Overview
Facilities Management (FM) is comprised of multiple departments: the Arboretum and Public Garden, Building Maintenance Services, Custodial Services, Utilities and Engineering, Operations and Asset Management. FM provides operations and maintenance support for all campus facilities. The Utilities Division includes nine major utilities (electricity, gas, steam, chilled water, domestic water, utility water, sewer, storm drainage, solid waste) that are purchased, produced or otherwise provided to the campus.

Work Environment
