Position Summary

The Recruiting Coordinator completes employee-related processes and functions and maintains employee records and reports. Assist employees throughout the employment life cycle while maintaining confidentiality. Supports the recruiting team through the various stages of the recruiting life cycle. Such as scheduling interviews, managing candidate workflow within the applicant tracking process and onboarding tasks. Duties & Responsibilities

Pre-Hire Duties:

  • Provide HRIS support - launch and manage new hire paperwork for accuracy and completeness.
  • Audit paperwork submitted by the recruiting team to ensure accuracy and completeness.
  • Maintain and upload documents to appropriate employee files, ensuring data accuracy and confidentiality.
  • Send welcome emails to new associates, providing essential start date information and addressing any outstanding items.
  • Collaborate closely with the recruiting team to ensure each new hire's workspace is prepared for their arrival.
  • Manage the tracking and ordering of new hire and replacement nametags and nameplates and send all appropriate onboarding/orientation materials to supervisors in preparation for their new associates' first day.
  • Coordinate miscellaneous details with managers, proactively address questions, and provide necessary support.

Onboarding/Recruiting Support Duties:

  • Manage branded merchandise to new hires across the company.
  • Schedule screenings and interviews with candidates and internal partners.
  • Oversee Form I-9 completion and documentation to ensure regulatory compliance.
  • Assist with addressing internal and external Human Resources related inquiries or requests promptly and professionally.
  • Manage and maintain the contract and temporary hiring process to ensure everything is up to date.
  • Create and maintain organizational charts.
  • Prepare and submit IT Service tickets.
  • Regularly create, update and maintain internal communication on the company's intranet platform.
  • Update employee records with new hire information; manage, document and ensure completion of new hire, internal transfer, name changes, and etc. in Workday .
  • Other assigned duties
  • Manage private and non-routine information, ensuring confidentiality.
  • Create, develop and maintain reports, organization charts, spreadsheets, presentations and other reports using Microsoft Excel, PowerPoint and other software.
  • Complete job assignments in a professional, timely and efficient manner; organize and prioritize work.
  • Other duties as assigned.
Education & Experience
  • Demonstrated experience providing support in Human Resources, Recruiting or onboarding as an assistant or a coordinator.
  • Experience within a fast-paced, service environment is a plus.
  • Strong oral and written communication skills along with strong customer services skills.
  • Ability to:
  • Maintain confidentiality of employee information
  • Client focused, the ability to multi-task, strong follow-up, and excellent organizational skills
  • Perform duties and make decisions under frequent time pressures
  • Education and Training:
  • Associate's degree preferred, preferably in Human Resources, communication or business or related courses or equivalent work experience
  • Familiarity with HRIS platforms, Workday or Ultimate Software/UltiPro experience preferred.
  • Requires proficiency in Microsoft Office.

Compensation and Benefits

Salary offered is based on factors, including but not limited to, the job duties, required qualifications and relevant experience, and local market trends. The role may be eligible for bonus or incentives based on company and individual performance.

(Base Pay Range: $23 - $28/ hour)
