*Description*
Patient Communication: Engage with patients via phone to share appointment details, pre-procedure instructions, and necessary preparations. Coordinate patient schedules based on available appointment slots, imaging availability, and provider schedules. Resource Optimization: Enhance workflow and minimize patient wait times by efficiently scheduling appointments. Collaborate with imaging facilities and departmental staff to synchronize imaging studies with interventional appointments, ensuring seamless patient care management. Primary Contact: Act as the main point of contact for patients, referring physicians, and healthcare providers regarding scheduling inquiries, appointment modifications, and care coordination. Handle incoming calls from patients, referrers, and other healthcare providers, triaging and directing them to the appropriate staff members. Accurately and promptly relay messages to relevant staff. Address scheduling conflicts or issues and work towards suitable resolutions. Record Maintenance: Keep accurate and current records of scheduled appointments, cancellations, and rescheduling requests. Input patient demographic information and appointment details into electronic medical records systems. Ensure proper documentation of imaging orders and related scheduling information. Patient Support: Assist patients in navigating the scheduling process, addressing their questions or concerns, and ensuring a positive experience from scheduling through post-procedure follow-up. Chart Preparation: Prepare patient charts in a timely and accurate manner, upload physician orders and other relevant documentation into the electronic medical records system promptly. Ensure all necessary paperwork is completed and available for review by healthcare providers before scheduled appointments. Transportation Coordination: Arrange transportation services for patients needing assistance with travel to and from appointments. Collaborative Coordination: Work collaboratively with providers, technologists, nurses, and administrative staff to coordinate patient care, resolve scheduling conflicts, and address any issues that arise during the scheduling process. Scheduling ultrasound imaging, occasionally CT and MRI Scheduling consultations, taking patient demographics and insurance information, notify PARs when imaging is scheduled Scheduling both Self-referred and referred by providers *Skills* EMR, patient scheduling, patient access, patient registration, medical scheduling, phone etiquette *Additional Skills & Qualifications* Minimum 1.5 years of medical scheduling experience, with preference for candidates with 3+ years of experience Knowledge of medical terminology and familiarity with specific medical specialties Attention to detail and thoroughness in documentation Ability to remain calm when dealing with irate patients Willingness to learn and adapt quickly during the 1-month training period Medical scheduling experience, preferably in a specialty healthcare setting Knowledge of medical terminology Strong communication skills and phone demeanor, as the role involves being the first point of contact for patients Minimum of a high school diploma or equivalent, with some college coursework or medical assistant certification viewed positively Attention to detail for tasks like insurance verification and prior authorizations * Exceptional interpersonal skills required. * Previous experience in a healthcare setting, provider space, scheduling for procedures or imaging or consultations with referrals * Proficiency in using scheduling software and electronic medical records systems. * Excellent communication skills, both verbal and written, with the ability to interact effectively with patients, healthcare professionals, and support staff. EMR experience - can be any working within a larger, busy medical office must have experience in medical (not with dental for vision) and with scheduling patients for appointments Quality of calls - provide real time feedback, attention to detail. Most they take a day 30 to 40 *Pay and Benefits* The pay range for this position is $18.00 - $20.00/hr.
