JLL has an exciting opportunity to join our Retail Property Management Team in downtown Boston.

This role provides accounting support for the property management team, and functions as a key member of the management team, reporting to the Mall General Manager.

This position will provide Administrative Support to the General Manager, Operations Manager, other personnel on site, as well as oversee the office administration and provide support as needed. Employee will serve as a liaison between tenants, client contacts and vendors.

This position will also provide Accounting Support for the property management team. Duties include Accounts Payable, Accounts Receivable, fielding telephone calls, receiving and directing visitors, document processing, creating spreadsheets, Tenant File Management and office filing.

Accounts Receivable & Accounts Payable

  • Make tenant collection calls
  • Enter tenant billing adjustments & Cash receipts
  • Tenant ledger reconciliations
  • Enter invoices and sales into accounting system
  • Ensure proper audit trail and supporting documentation
  • Maintain sales information & collect sales reports

Accounting

  • Assist with Accounting deadlines and projects
  • Accounts Receivable: enter cash receipts and enter billing adjustments
  • Accounts Payable: enter invoices, ensure proper supporting documentation for invoices
  • Collection of Tenant Sales Reports
  • Set up new vendors and update records as needed

Lease Analysis

  • Review leases and leasing activity, ensure accurate billing, prepare Notices/correspondence in accordance with the lease
  • Review and/or calculate additional charges as applicable

Typing, File and Information Management

  • Organize files as directed and maintain directory of stored files.
  • Provide administrative support to create, modify or finalize documents as directed
  • Send documents via mail, UPS or FedEx.

Expense Management

  • Order supplies and submit expenditure requests.
  • Process expense reimbursement requests and allocate cost as directed.

Administrative Support

  • General filing
  • Oversee incoming and outgoing packages, courier, faxes, work order escalation notices and ensure courtesy call backs for on-going tenant issues
  • Order, maintain and manage office contracts (supplies, copier, commissary supplies, etc.

Operations

  • Track legal correspondence and leases
  • Manage tenant communications including tenant move-in orientation and tenant move-out process

Miscellaneous

  • Special projects as needed.

Required Skills

  • 1+ years of Bookkeeping, Accounts Payable and Accounts Receivable experience
  • Real Estate / Property Management industry experience preferred
  • 1-2 years bookkeeping required
  • Microsoft Office Suite, including Excel, is required. Knowledge of real estate accounting software such as Yardi.
