Dewberry is currently seeking a Receptionist/Administrative Assistant in our New York, NY office. The successful candidate will perform a variety of administrative, receptionist and logistical functions in support of a fast-paced, multi-disciplined engineering business. This position will provide the opportunity to work with a diverse staff supporting the design and construction efforts for some of the largest and most complex infrastructure, facility and water projects in the New York metropolitan area.

Responsibilities

The support provided by the Receptionist/Administrative Assistant is diverse and ranges from general office support duties to some technical work that requires strong capabilities in MS Word, Excel, PowerPoint, Outlook and Adobe Acrobat. The selected candidate will also be trained in Dewberry-specific software. This position requires flexibility, technological ability and a strong client focus. We offer a competitive salary, based on experience.

Specific duties include:

    Answer calls and greet visitors
  • Responsible for managing and coordinating workspace reservations for employees and guests in a hoteling environment
  • Answer inquiries related to workspace reservations
  • Manage Visitor check-in process promptly at 8 AM each morning, ensuring seamless transitions to their reserved workspaces with designated hours of operation (8am-5pm)
  • Administrative support for professional and technical staff including business development, marketing efforts, financial reporting, and general administrative functions
  • Maintain appearance of meeting spaces, audio-visual equipment and conference room calendars
  • Schedule appointments and make travel arrangements
  • Register staff members for internal and external functions including registration and processing check requests
  • Create, edit and maintain simple spreadsheets in MS Excel
  • Create, edit and maintain forms, templates, reports, specifications, and letters in MS Word
  • Create, edit and maintain simple presentations in MS PowerPoint
  • Purchase office supplies and maintaining office supply inventory.
  • Oversight of office appearance and orderliness.
  • Interact professionally with building staff, postal and delivery representatives, and Dewberry logistics personnel on a daily basis.
  • Process and distribute mail, packages and intra-office correspondence.
  • Other duties as required


Required Skills & Required Experience

  • Bachelor's degree preferred; high school degree required.
  • Minimum of 2 years of experience in the field or in a related area preferred
  • Experience working with Engineering or Architectural firm a plus
  • Proficiency in MS Word, MS Excel, MS PowerPoint and MS Outlook required
  • The ability to create improved work efficiencies through the effective application of technology
  • A service-oriented, positive, flexible and "can do" attitude
  • The ability to organize and prioritize workload as needed to meet schedules
  • Presents a positive image of Dewberry in line with our overall brand:
    • Speaks clearly, enunciates words, portrays a warm, professional demeanor
    • Handles multiple concurrent projects
    • Ability to work independently

Salary Range

The projected range for this position is $52,000 - $60,000 annually. Depending upon other factors, i.e., skills, experience, location, market conditions, the range may vary slightly. These ranges are for NY only.
