Project Accountant

SUMMARY OF POSITION

The Project Accountant is responsible for managing the company's project budgets, project costs and accounts receivable processes, including invoicing, collections, and payment processing. This position ensures that payments are received promptly, accounts are accurately reconciled, and any issues are resolved in a timely manner. The role supports the overall financial health of the company by helping maintain positive cash flow.

DUTIES & RESPONSIBILITIES



  • Prepare and send invoices to clients based on contract terms, services provided, and products delivered.
  • Ensure accuracy and compliance with billing schedules and payment terms.
  • Monitor accounts receivable aging and follow up with clients on overdue payments.
  • Contact clients via phone, email, or mail to resolve payment issues and collect payments.
  • Escalate unpaid accounts to management or external collections agencies when appropriate.
  • Record incoming payments and apply them to the correct accounts.
  • Investigate and resolve any discrepancies, including missing or incorrect payments.
  • Prepare accounts receivable reports, including aging reports, cash receipts, and collections updates.
  • Assist in the preparation of financial reports for management, including month-end or year-end financial close processes.
  • Maintain accurate and organized records for audit and reporting purposes.
  • Set up projects within accounting system.
  • Enter established budgets and update actuals ongoing.
  • Work with Project Managers and Technical Leads to enter POs in the system and cost to appropriate job.
  • Set up new subcontracts into accounting system & work with Project Manager for final approvals to release payment.
  • Enter change orders into accounting system & work with Project Manager to manage approval process and update progress billing as required.
  • Report progress billing to the Accounting Director on a weekly basis.
  • Project Closeouts: Work with Compliance to ensure paperwork is complete and accurate, work with Project Manager/Technical Lead to ensure all work is complete to send out final billing.
  • Meet with Project Managers/Technical Leads on a weekly basis.



QUALIFICATIONS



  • Bachelor's degree in Accounting, Finance, or related field.
  • Minimum 2-5 years of experience in Accounts Receivable or a similar accounting role.
  • Experience working in the construction industry preferred.



PHYSICAL REQUIREMENTS



  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 10 pounds at times.
