Required Qualifications (as evidenced by an attached resume):
Bachelor's Degree (foreign equivalent or higher). Two (2) years full-time experience in academic advising, program coordination, or student services in a college or university setting (student employment may be considered). Proficiency with Google Suite and/or Microsoft Office.

Preferred Qualifications:
Master's degree (foreign equivalent or higher) in higher education, counseling, education or related discipline. Three (3) or more full time years of administrative experience in a college or university setting. Experience with advising tools, such as PeopleSoft, Degree Works, Navigate, SOLAR, or comparable systems. Experience using campus business systems, such as SBU Reporting, OU Campus, Wolfmart, 25 Live, or comparable systems. Experience with virtual meeting applications (Zoom Teams, etc.), and social media platforms (Facebook, Instagram, LinkedIn, X, etc.). Event planning experience. Familiarity with SBU and/or SUNY policies, practices, and/or student resources.

Brief Description of Duties:
The Program Coordinator provides student support, academic advising and program support for the Lichtenstein Center's Creative Writing and Film programs. The LC offers approximately 70 undergraduate sections/courses on West Campus to approximately 2,000 students per semester, with additional offerings in the winter and summer terms and graduate courses in Manhattan and Southampton. Working closely with the Department Administrator and creative writing and film UGPDs, the Program Coordinator serves as a point person and information resource for directors and students in the undergraduate Creative Writing and Film programs, providing academic advising and relevant program support from admissions through program completion. Responsibilities include ensuring students meet degree requirements and adhere to University policies and deadlines. The role is also responsible for planning and promoting department events in coordination with the UGPDs and faculty. Essential for this role is the adeptness to work independently as well as part of a team with a collaborative approach to problem solving.




  • Program Director Support and Coordination

    • Keep UGPDs and Department Administrator apprised of program data, such as enrollments, and maintain class lists for majors and minors and anticipated graduation dates.
    • Monitor enrollments, reserves, and wait-lists in coordination with the Department Administrator and advise students accordingly.
    • Work with UGPDs and Career Services to communicate internship opportunities to students and refer to faculty for career advising.
    • Plan and coordinate all activities related to attracting and engaging both current and prospective students, including program events such as IMAGINE, CREATE, and the Science + Cinema series.
    • As requested, support UGPDs with nominations for university awards, scholarships, and fellowships.
    • Work with Campus Dining to arrange food and beverages according to anticipated student attendance.
    • Assist with promotional material for LC programs (open houses, orientation, Admitted Student Day, Major/Minor Networking Event, LC website, Brightspace, newsletters, recruitment, marketing, etc.).
    • Support UGPDs, as needed, with materials for any program events such as the department Convocation, Capstone Showcase, and other campus events.
    • Promote events through social media, email, website, flyers, SB Engaged, campus calendars/news etc..


  • Student Support

    • Coordinate the Creative Writing and Film program registration process; advise students of Advanced Registration deadlines, enrollment dates, course offerings/topics via email blasts, website updates, social media, and handouts, including winter and summer session. Resolve course conflicts, coordinate course substitutions, issue permissions. Assist students with add/drop, section changes, transfer course/credit evaluations, and capstone registration. Process requests to override prereqs, resolve problems with missing or incorrect grades and assist with holds.
    • Provide students and faculty with regular communication about registration, courses, creative writing and film major/minor degree requirements, academic planning, and policy/procedure.
    • Track the progress of students toward degree completion, update graduation checklists, track specialization declarations, and capstone course enrollment.
    • Keep accurate student records with adherence to FERPA regulations, from admissions through degree completion. Submit petitions and track course substitutions in student's records. Help students navigate the University; refer students to relevant advising offices; and connect students to appropriate campus support resources.
    • Respond to queries in shared mailboxes forwarding to the appropriate party if necessary; update undergraduate student email groups.
    • Work with Visa and Immigration advisors and UGPDs to override permissions to register international students when necessary.
    • Interface with student clubs; assist with promotion and scheduling events in LC spaces. Organize community building groups for new and continuing creative writing and film students.


  • Lichtenstein Center/Program Support

    • Support administration of LC undergraduate programs and liaise with other University offices, such as the Dean's Office, International Academic Programs, Registrar's Office, Financial Aid, and represent LC at meetings as necessary.
    • Assist Department Administrator with office admin policies/procedures (mailboxes, copier, office hours, key codes), assigning and monitoring student assistant assignments, collecting assessment and curriculum materials including thesis and capstone portfolios, syllabi, and course topics.
    • Organize/maintain office supplies; place and track orders through Wolfmart and account for financial expenditures.
    • Coordinate with film faculty and student assistants to facilitate equipment package check-outs and returns.


  • Other duties or projects as assigned as appropriate to rank and department mission.


Special Notes:
This is a full-time appointment. FLSA Non Exempt position, eligible for the overtime provisions of the FLSA.

In addition to the employee's base salary, this position is eligible for $3,400 UUP annual location pay, paid biweekly.
