The Information Technology (IT) Contracts and Procurement Specialist plays a key role in supporting the procurement and contract management processes for IT-related products, services, and contracts. This position ensures that all IT procurement activities are executed efficiently, compliant with company policies, and aligned with budgetary requirements. Working closely with various internal departments such as IT, finance, legal, and external vendors, this role focuses on streamlining operations and maintaining organized records to support the effective administration of IT contracts and procurement processes.

ESSENTIAL FUNCTIONS

IT Contract Administration:

  • Assist in drafting, reviewing, and maintaining IT-related contracts, including those for products, services, software, and cloud services.
  • Ensure all contracts are stored and filed in accordance with company policies and legal standards.
  • Support the contract lifecycle by tracking important deadlines such as renewals, amendments, and terminations, and maintaining up-to-date records.
  • Coordinate with the legal team to ensure contracts adhere to company and regulatory requirements.

Procurement Process Support:

  • Provide administrative support in sourcing IT products and services, including hardware, software, and technical support.
  • Assist in the evaluation and comparison of bids and proposals, ensuring all documentation is properly filed and easily accessible.
  • Support the processing of purchase orders and maintain tracking systems to monitor procurement progress.

Supplier Relationship Management:

  • Maintain accurate and up-to-date contact information and documentation for all IT suppliers.
  • Coordinate communications between internal departments and external suppliers to ensure smooth delivery of products and services.
  • Assist in tracking vendor performance by collecting necessary data and reports, ensuring compliance with established terms and service level agreements (SLAs).

Compliance and Risk Support:

  • Ensure that all procurement and contract-related documentation complies with internal policies and industry regulations.
  • Assist in identifying potential compliance risks and maintain records of actions taken to mitigate them.
  • Help prepare and organize documentation for internal audits and compliance reviews.

Documentation, Reporting, and Data Entry:

  • Maintain accurate and organized records of contracts, purchase orders, vendor communications, and other procurement-related documents.
  • Prepare periodic reports summarizing procurement activity, vendor performance, and cost-saving initiatives.
  • Provide administrative support by organizing and filing reports, ensuring they are easily accessible for management and audits.

Collaboration and Cross-Departmental Support:

  • Assist the IT and finance teams by coordinating communications and ensuring procurement decisions align with organizational goals and budgets.
  • Facilitate coordination between departments to ensure smooth workflow and timely resolution of procurement and contract management tasks.

EXPERIENCE/ EDUCATION

  • Minimum of 2-3 years of experience in administrative support roles, preferably within IT procurement, contract management, or related fields.
  • Familiarity with IT procurement processes, contract management, and vendor relations is preferred.
  • Basic knowledge of IT products and services is a plus.

KNOWLEDGE/ SKILLS/ ABILITIES

  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills for maintaining accurate records and interacting with internal teams and external vendors.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint), with strong data entry and reporting skills.
  • Ability to manage multiple tasks and maintain a high level of accuracy in a fast-paced environment.

  • Ability to work overtime as required
