Job Summary

Seeking a detail-oriented and motivated Accounts Payable Specialist to join our finance team. This role is responsible for processing vendor invoices, ensuring timely payments, and maintaining accurate financial records. The ideal candidate will have strong organizational skills, attention to detail, and a willingness to learn and grow within the organization.

Essential Functions, Duties, and Responsibilities

Invoice Processing:



  • Review and verify vendor invoices for accuracy, proper coding, and approvals.
  • Enter invoices into the accounting system in a timely and accurate manner.
  • Match invoices to purchase orders and receipts as required.


Payment Processing:



  • Prepare check runs, electronic payments (ACH/wires), and ensure proper documentation.
  • Monitor payment schedules to ensure timely payments to vendors.


Vendor Management:



  • Maintain accurate vendor records, including W-9 forms and banking information.
  • Respond to vendor inquiries regarding payment status and resolve discrepancies.


Reconciliation and Reporting:



  • Assist with monthly accounts payable reconciliations and accruals.
  • Maintain organized and up-to-date accounts payable files and records.


Compliance:



  • Ensure compliance with company policies, procedures, and accounting standards.
  • Assist in preparing documentation for audits as needed.


Qualifications

Educational and Experience Requirements



  • High school diploma.
  • 1 - 3 years of experience.
  • Proficient in Microsoft Excel
  • Experience with SAP preferred
