Job Description Summary |
The
Assistant Registrar plays a key role in the successful operation of the Registration & Records Office. This includes direct supervision of the Sr. Department Assistant and all student workers in the office. The Assistant Registrar oversees the "front end" operations and delivery of the highest standards of customer service for all who interact with the Office of Registration and Records. This position is also responsible for the annual development of undergraduate and graduate catalogs. The Assistant Registrar also supports the Associate Registrar in managing all processes related to undergraduate and graduate student records and registration, including maintaining the degree audit system and the processing of degrees at the conclusion of each semester. |
Essential Functions |
Registration and Enrollment:
- Support the Associate Registrar in managing all technical components related to undergraduate and graduate registration processes, ensuring that all relevant coding and set up is accurate in the Colleague student information system.
- Responsible for execution of: Registration related office operations for undergraduate and graduate students, including registration functions for all unique circumstances that require staff intervention to support timely and accurate student registration status.
- One of 3 School Certifying Officers for VA benefits, helping to process VA benefits each semester.
- Coordinates with Graduate Admissions to matriculate new incoming graduate students each semester.
Degree Audits:
- Support the Associate Registrar in updating and maintaining all undergraduate and graduate degree audits. Review of degree audits for all undergraduate and graduate students who have applied for commencement. Coordinate with Departmental chairs for major, certification and minor requirement completion.
- Process exceptions/petitions.
Front End Coordination and Supervision:
- Supervise the Senior Department Assistant in the Registration and Records office. Ensure high quality "front end" operations and delivery of the highest standards of customer service for all who interact with the office.
- Develop and maintain a coordinated front end schedule to provide timely responses to in-person, phone, and email traffic.
Annual Catalog:
- Oversee the annual editing/development of the undergraduate and graduate catalogs. Work with stakeholders across campus to collect and organize updated information. Utilize Acalog software to complete catalog updates.

Required Education, Experience, Technology Applications and Skills |
- Bachelor's degree required
- A minimum of one year of experience in higher education or other relevant office experience
- Flexible and detail-oriented, with excellent written/verbal communication and interpersonal skills
- Proficiency in the use of technology including Microsoft Office Suite and databases
- Exceptional organizational skills and be able to attend to and prioritize projects
- Ability to successfully manage interpersonal working relationships
- Strong written and verbal communication skills
- Handles confidential information sensitively and appropriately
- Demonstrates commitment to working in a diverse workplace and to building a pluralistic community by promoting an increased understanding of individual differences and perspectives that will enable workforce cohesiveness
