Responsibilities

The Executive Assistant/Administrative Services provides high-level administrative support to the Chief Administrative Officer and associated departments. The role will receive assignments that are often unstructured and require the ability to analyze situations, plan work methods and organize needed resources. The role will work with multiple departments and divisions within the Credit Union as well as members, suppliers, and service providers.

The Executive Assistant/Administrative Services will respond to calls, written requests and direct inquiries, as well as monitor task assignments to ensure completion. The role will also track projects, receive and processes invoices, as well as maintain databases, spreadsheets, and files. The role also maintains the Chief Administrative Officer's calendar, schedules and coordinates meetings, orders supplies, coordinates travels, processes expenses, collects metrics and performance reports as requested, and compiles various information for complex special projects and spreadsheets and presentations, as needed.

The role will serve as support and back up to the Chief of Staff and Board Liaison.

This role requires a high degree of confidentiality, as the individual will be handling sensitive information and will be expected to maintain discretion at all times.

* Proven ability to take independent action on assigned tasks and prioritize work in multifaceted environments that simultaneously works with multiple departments, organizations and projects involving multiple tasks and deadlines, specific deliverables, and expected tangible outcomes
* Ability to respond to calls, written requests, and direct inquiries for general and project specific information and prepare reports, presentations, correspondence and other written material from oral instruction and written communication
* Proficient analytical and problem-solving skills with a strong attention-to-detail
* Solid organization, time management, and planning skills
* Strong communication and interpersonal skills to effectively deal with various levels of management, members and other Credit Union personnel
* Familiarity with PCs and applicable software

WORKING CONDITIONS/PHYSICAL DEMANDS
* Ability to communicate effectively in English, both orally and in writing
* Visually able to perform activities such as preparing and analyzing data and figures, viewing a computer terminal, and extensive reading
* Ability to sit for extended time periods
* Sufficient manual skill for operation of PC keyboard and other standard office equipment
* Ability to travel, including occasional overnight travel
* Ability to exert minimum amounts of force occasionally to lift, carry, push, pull or move objects
