Position Overview

The Senior Real Estate Coordinator (SREC) contributes to the successful delivery of the Exact Sciences Real Estate Global Portfolio. The SREC will also support individual projects on an as-needed basis. This person will help projects meet critical schedule dates by ensuring timely project contract execution and purchase orders occur in a timely manner. They will support REFS Project Team with timely execution of design & construction contracts with Legal Team. The SREC will work closely with Procurement, Global Privacy Organization and external partners for the identification of open items and facilitating a timely resolution to avoid project schedule delays. The SREC leads the effort to keep the Real Estate Team standards, process documents and shared information organized to promote successful project delivery across the portfolio. This position will interface with directors, managers, design teams partners, and contractors to support successful project delivery.

Essential Duties

Include but are not limited to the following:

  • Work with multiple project managers to ensure project budget, status, risks and schedule information is accurately reflected in the Global Portfolio.
  • Coordinate with Legal, project managers, and external partners to facilitate timely contract review and approvals across the portfolio of projects.
  • Effectively communicate contract status and assist in resolving open items as needed to prevent delays in contract execution.
  • Manage the purchase requisition process to obtain purchase orders in a timely manner.
  • Support and improve recurring project cost monitoring process.
  • Work with PMs to resolve project report issues as they arise.
  • Communicate with internal and external stakeholders to promote clarity in deliverable expectations.
  • Assist in process improvement efforts to build out best practices as a PMO organization.
  • Handle confidential and sensitive business critical information.
  • Maintain a general awareness of the Real Estate portfolio projects to better support the team.
  • Schedule and coordinate meetings for projects (i.e., prepare materials, keep meeting minutes).
  • Prioritize and balance priorities across multiple projects.
  • Organize, maintain a manage project documentation to support successful project delivery.
  • Drive progress by maintaining action items lists on improvement initiatives and collaborate with team members to ensure completion.
  • Support project managers with successful project delivery.
  • Take on project responsibilities such as close-out duties to ensure projects are turned over on schedule.
  • Coordinate system training for end-users associated with new facilities to promote the successful transfer of ownership on schedule.
  • Support and comply with the company's Quality Management System policies and procedures.
  • Attend work regularly and reliably.
  • Ability to lift up to 20 pounds for approximately 5% of a typical working day.
  • Ability to work on a mobile device, tablet, or in front of a computer screen and/or perform typing for approximately 90% of a typical working day.
  • Ability to grasp with both hands; pinch with thumb and forefinger; turn with hand/arm; reach above shoulder height.
  • Ability and means to travel between Madison locations.

Minimum Qualifications

  • Bachelor's Degree; or High School Degree/General Education Diploma and 6 years of relevant experience in lieu of Bachelor's Degree.
  • 4+ years of experience in design and/or construction projects or related fields.
  • Proficient in Microsoft Word, Excel, PowerPoint, Outlook.
  • Demonstrated ability to perform the Essential Duties of the position with or without accommodation.
  • Authorization to work in the United States without sponsorship.

Preferred Qualifications

  • Project Management Professional or Certified Associate in Project Management (CAPM) through PMI.

Salary Range:

$58,000.00 - $92,000.00

The annual base salary shown is for this position located in US - WI - Madison on a full-time basis. In addition, this position is bonus eligible, and is eligible to be considered for company stock at hire and on an annual basis.
