Responsibilities
The Sr. Fleet Manager is responsible for coordinating all activities pertaining to these expectations with the Safety Committee Chairs, HR Generalists, Market Leadership and Fleet Staff at all sites. *MUST live in the region this position supports including FL, GA, NC, SC, TN, AL, MS Essential Duties and Responsibilities:
- Serve as the subject matter expert for transportation department regulatory compliance (e.g. Department of Transportation (DOT), Federal Motor Carrier Safety Administration (FMCSA).
- Ensure compliance with state and federal regulations (DOT, FMCSA).
- Ensure DOT drug / alcohol program is compliant with regulations and maintain compliance
- Provide a comprehensive and accurate reports containing appropriate DOT metrics
- Mentor the competency of managers in Fleet/DOT on management practices, protocols and procedures
- Conduct an overall DOT compliance course 2 times per year
- Conduct DOT compliance audits and institute a self-inspection protocol for all sites
- Conduct maintenance vendor audits to determine maintenance compliance with FMCSR regulations
- Conduct periodic inspections of 3rd party administration compliance with DQF, CSA & D&A program requirements
- Monitor CSA Basic Scores to address trends and drive performance
- Maintain roadside inspection documentation and coach field management on roadside inspection issues
- Monitor and manage Hours of Service Compliance
- Verify employment of former regulated employees when requested by outside companies.
- Facilitate new hire orientation, ensuring appropriate DOT and other regulatory paperwork are completed, tracked, and filed as needed.
- Perform audits to ensure compliance with Driver Qualification Files (DQF).
- Coordinate DOT required drug & alcohol testing programs.
- Ensures new and existing drivers are registered and comply with the FMCSA clearinghouse requirements
- Review all DOT inspections Responsible to DATA Q any necessary DOT
- Updates and maintains all processes to include 3rd party systems to have a complete driver qualification file on each driver and to ensure compliance with all DOT & FMCSA regulations.
- Communicate changes to DOT & other regulatory requirements as needed to Operational Leadership.
- Maintain the driver policy handbook, processes, and best practices for our drivers
- Develop materials and conduct training for fleet personnel and drivers
- With coordination of the Risk and Safety groups, assist with the implementation of the elements of a collision management process including coordination of reporting, investigation, documentation and management of incidents
- Review accident data contents for accuracy and documents for all collisions.
- Provide monthly scorecards which include tactics and activities from a national perspective
- Teach PACE ride along principles to direct reports and management
- Work cross-functionally (e.g., Operations, HR, Legal, Safety, Training) to ensure corporate policies effectively drive compliance with all laws, regulations and company policies and procedures
- Support company mission, values, and standards of ethics and integrity
- Apply sound communication and motivational techniques in leading, coaching, and developing employees. Requires consistency and follow-through of performance and employee related issues. Document substandard performance and work with site management on proper corrective action
- Set an example of personal integrity and ethical business practices which provides a standard of conduct for all fleet personnel.
- Conduct regular location visits to make observations and reinforce desired behaviors and processes.
- Perform other duties as needed or assigned.
Qualifications
Skills and Experience:
- Bachelor's Degree or equivalent work experience
- Experience
- At least 5 (five) years of experience in administering company compliance/fleet programs and DOT regulations enforcement.
- At least 5 (five) years of experience of managing 5 or more direct reports
- Extensive knowledge and understanding of current transportation practices, DOT/CSA regulations and programs.
- Knowledge of software applications including Microsoft Office software; (Word, Excel, Outlook, etc.).
- Preferred but not required - Class A CDL with some verifiable driving experience
- Travel (minimum 50%)
- Independently resolve regulatory issues with regulatory agencies
- Utilize excellent verbal, written, and inter-personal communication skills.
- Demonstrate analytical and problem-solving skills with strong attention to detail
- Proficiently work numerical data and calculations.
- Pass pre-employment background checks and drug screening
- Deliver results and strive for continuous improvement
- Be highly motivated, able to work independently
- Confidently and effectively, handle confrontations with difficult individuals.
- Establish and maintain good rapport with co-workers, supervisors, vendors, customers and others.

- Testify in legal hearings
- Maintain a valid driver's license
