OVERVIEW:

The Administrative Assistant provides general office and project-related support including general administrative duties and human resources support. This is an on-site position.

DUTIES AND RESPONSIBILITIES:



  • Manages incoming calls, mail, and emails
  • Prepare flyers, documents, and letters
  • Maintain the master calendar for the facility
  • Prepare meeting minutes and statistics
  • Maintain Corps files and records
  • Maintains inventory of office supplies
  • Process items and contracts for Divisional headquarters approval
  • Oversee the recruitment for the Corps
  • Assist in the pre-employment process for new hires
  • Assist in the Live Scan process for all employees
  • Update and maintain I-9 files
  • Assign training and maintain complete and accurate records
  • Ensure all required labor and legal posters are posted
  • Other related duties as required


EDUCATION AND EXPERIENCE:



  • High school graduate or equivalent (required)
  • CA Driver's license (required)
  • Experience working as an administrative assistant (preferred)
  • Experience with Microsoft programs

  • Ability to communicate effectively and accurately

PHYSICAL REQUIREMENTS:



  • Ability to lift up to 25 lbs. (Usually file boxes)

  • Modern Office Equipment and Relevant Software
