Organizational Unit Overview
Preparation of professional educators and allied practitioners, including professionals in business and information systems, counseling, electronic media, and librarianship. Significant to the mission of the unit is a strong commitment to three important related areas all of which are realized through partnerships and other endeavors of the university's mission. These three areas are the encouragement and nurturing of professional growth for educators and allied practitioners at all levels and in all areas of the education, the continuing emphasis on and support for scholarship, research, creative activity, teaching, staff preparation and the improvement of schools, and the development, creation and cooperative distribution of educational policy for North Carolina.
Job Duties
Communication (25%): Point of contact for Academic Success Center ( ASC). Consistently provide a professional and courteous atmosphere in the Academic Success Center. Provides a welcoming attitude to all clients in person and on the phone. Routes mail, answers telephone, and walk-in inquiries. Maintains virtual and actual bulletin boards sponsored by the Center to increase student awareness and access to information. Manages electronic calendars for office staff for appointments. Secures space for program events both on and off campus. Provide welcome/outreach to newly admitted COE students to connect them to the ASC. Send targeted emails to various COE populations about upcoming deadlines and important information.

Data management (25%): Required to code student attributes for advisees and scholars and makes advising-related administrative changes in Banner system for COE students. Maintain ASC documents in current, up-to-date form, revising them as requested by advisors and assuring their availability. Assists lead of advising with course registration tasks. Completes licensure coursework audits for COE students. Completes regular reporting to ensure the accuracy of COE student records. Supervises student workers in the Center. Follows FERPA guidelines and other guidelines established by the university and the COE regarding the safeguarding of student information. Analyzes data and feedback from events in a timely manner. Creates documents needed for program events, maintains databases of participants, and corresponds with participants prior to and after events. Use data management tool for programs and event sign up, track program attendance, and program participation. Manage registration for 240 Tutoring, a teacher licensure exam preparation platform available to all education undergraduates, including those in alternative licensure pathways.

Campus Operations (25%): Provide current, relevant database information to Center advisors prior to student appointments. Submit work orders as requested and track the progress of these orders until completion. Coordinate with staff the tasks assumed by student workers and graduate assistants, along with work schedules and timesheets for student employees. Prioritize, with staff, the short- and long-term duties required of this position. Knowledgeable about offices throughout campus and particularly in the COE. Processing departmental deposits accurately in a timely manner. Providing administrative support during New Student Orientation and Transfer Orientation.

Maintain state and foundation budgets and coordinate and process travel for ASC Staff and programs. Reserves space for program events and provide set up and assistance with programs and events. Orders office supplies for office and program and maintains an efficient, organized, and professional workplace environment.

Budgeting (25%): This role provides administrative support to the Executive Director of Student Engagement, Student Success, Scholarship, and Development, as well as other departmental staff. Responsibilities include processing student travel for program participants, ordering event supplies, and assisting with logistics for various programs and activities. Key duties include tracking State and Foundation funds allocated for licensure test preparation, professional development, and experiential opportunities for four-year NCTF and Education Community Scholars. The position requires proficiency in internal systems to manage tasks such as purchasing, travel arrangements, space reservations, and overseeing multiple State and Foundation budgets related to academic advising, student retention and engagement, and scholarship programs.
Additionally, the role involves coordinating event schedules, ensuring student clearance for participation, and handling payments and processing travel and invoices for associated groups.

Also includes all other duties as assigned.

Administrative/office, budgeting, and purchasing experience preferred. Experience using Microsoft Office Suite including Word, Excel, Publisher, Outlook, Teams, and web conferencing tools is preferred.
