This position is responsible for providing administrative support to the Field Service Engineers and Service Managers. The Service Administrator relays information to the technicians, obtains and processes engineers expense and service reports as well as processes invoices in SAP.

Service Administrator Duties & Responsibilities

  • Enter data into SAP and TRUMPF's Service Information System (SIS3)
  • Assist Service managers daily with correct order processing and invoicing.
  • Assist with on-boarding of service technicians and support functions in service.
  • Assist technicians with doing expense reports, ordering PPE or equipment they need. Process mission and service case billing through SAP.
  • Supports managers and customers regarding billing questions.
  • Review, confirm and process service engineer's expense reports through Certify.
  • Research and update machine data through the SAP system.
  • Update & Present admin documentation and rules for technicians.
  • Enter Service Agreements & warranty information through the SAP system.
  • Communicate internally and externally professionally via phone and email.
  • Monitor Service admin Inbox and act accordingly.
  • Manage the technicians lease or rental car according to TRUMPFS guidelines and policies. Process invoices for 3rd party service provider.
  • Ensure correct processing of 3rd party invoices according to their contracts.
  • Support 3rd party technicians regarding IT-access to TRUMPF's SIS system.

Experience

Excellent interpersonal communications, clerical problem solving and conflict resolution skills. Computer skills including Word, Outlook, Excel, PowerPoint, SAP, and SIS. Customer service experience preferred.

Education

Associate degree in business management preferred; one to two years' experience in an administrative environment acceptable
