Job Title: Document Management Specialist/ Scanning Technician

Location: Warrenton, VA, 20186

Pay Rate: $ 20.00 /hr. without benefits

Duration: 09-12+ months


Working Hours: 8:00 - 4:30, M-F (flexible - 8 hrs/day) Lunch Period: 30 or 45 mins, will effect work hours

Job Description:


  • The candidate must have experience with Adobe Acrobat.


Equipment to be used by the temporary staffing professional(s) :

  • Ricoh 7600 scanner, Dell/Client laptop, photocopier


Computer software to be used :

  • Adobe Acrobat Pro/DC, OneDrive, Excel, Paper Stream Click Scan (scanning software), Hyland (database)


Knowledge, skills, education, and/or experience:

  • A high school diploma or GED is preferred
  • Demonstrated ability to work independently, communicate needs, solve problems, and meet set deadlines
  • Knowledge of general office procedures
  • Strong organizational skills and ability to manage competing deadlines


Mandatory skills/certification(s) Requirement:

  • Must be able to: move items weighing up to 50 lbs.,
  • Sit for extended periods,
  • Reach above and below shoulder height, kneel/squat/bend at the waist to
  • retrieve files
  • Ability to receive, sort, and prepare documents to be scanned;
  • Use basic office and scanning equipment; Respond to requests for information;
  • Maintain confidentiality; Follow oral and written directions; Comply with records retention guidelines; Use automated systems to enter and Retrieve information; and perform high-volume, repetitive manual tasks requiring attention to detail.


Role & Responsibilities:

  • The physical retrieval of hardcopy files from the onsite storage location.
  • Prepare physical documentation for scanning by file preparation procedure (e.g., remove staples and paperclips, review documents for complete
  • information, and verify quality).
  • Scanning of documents on a high-speed scanner
  • Quality check completed scanned document, identify and analyze discrepancies, make
  • corrections as needed, verify accuracy of output, and save document file(s) on a
  • network location for review by document owner(s)
  • Accurately file name and index scanned documents.
  • The physical return of hardcopy files to the allocated shelf in the onsite storage location
  • until the scans have been reviewed by staff and uploaded to the database.
  • Organize the destruction of reviewed documents.
  • Highlight any issues to the local contact and home office operations team.
  • Complete all necessary work accurately and in line with procedures and given timelines.
  • Participate in any required training.
  • Attend meetings with local and home office staff as needed.
