Job Summary
The Assistant Athletic Director for Business Operations and Events will oversee and manage Athletic Department finances, business operations, game day operations, equipment and events. Reporting to the Vice President/Director of Intercollegiate Athletics and serving as a member of the senior staff, the incumbent oversees game day operations, business office personnel, as well as the athletics equipment staff.
The Assistant Athletic Director for Business Operations and Events is responsible for all fiscal activities of Chicago State University's NCAA Division I Athletic Department, including budget planning, formulation, management, forecasting, and resource allocation. This position serves as a fiscal officer for the Department of Athletics and is charged with working independently as well as collaboratively with campus Business and Finance units. This individual is responsible for providing regular financial reports to the Vice President/Director of Athletics.
This position is also responsible for the development and oversight of fiscal policies and procedures to ensure all fiscal activities are conducted in compliance with federal, state, institutional, and NCAA laws and regulations.
The incumbent ensures fiscal integrity, including compensation, scholarship, and operating budgets, as well as the Athletics' foundation accounts. Create and maintain policies and procedures related to financial management and business operations. Promote an atmosphere of customer service to internal and external constituents, overseeing team services (travel, officials, and equipment).
In addition to the above duties, the Asst. AD Business Operations and Events maintains managerial authority over additional operational units, third party vendors and game contracts, purchasing and inventory.
Job Description

  • Responsible for management of intercollegiate athletics events, with emphasis on logistics, scheduling of support staff, event management and event set-up.
  • Manage all fiscal documents, including purchase requisitions, purchase orders, accounts payable invoices, p-card transactions and related workflow.
  • Develop and implement comprehensive financial, budgetary and reporting systems, policies and processes to allow for the rapid delivery of data while ensuring compliance with applicable rules and regulations.
  • Ensure the veracity of financial data reported within all components of the athletics department.
  • Prepare financial analyses, forecasts and reports for internal and external constituents.
  • Oversee and maintain effective internal financial controls and policy compliance within the University's athletics program.
  • Engage in fiscal responsibility and accountability with transparency.
  • Serve as departmental liaison for all internal and external audits for quality control and to reduce audit findings.
  • Assist in the development and implementation of programs, policies and objectives related to areas of oversight and assist the director with overall management.
  • Participate in the development of programs, departmental objectives and long-range planning.
  • Provides advice and expertise to campus and university units, interpreting policies of the areas of oversight.
  • Lead and coordinate program development, and financial operation of the unit.
  • Serve as a sport administrator, as assigned

Minimum Qualifications

  • Bachelor's degree.
  • Minimum of one (1) year budget management experience in athletics business office or closely related field.
  • Must have relevant work experience in Athletics Business Operations and Events Management for 1 year or better

Preferred Qualifications

  • Master's Degree in accounting, finance, business administration, sports management or another specialized field.
  • Progressively responsible professional experience in the areas of financial management, accounting, compliance and/or budgeting, specifically completing EADA, NCAA Financial Reporting and NCAA Financial Audits; knowledge of NCAA rules
  • Knowledge of NCAA Division I
  • Experience working in College Athletics

Knowledge, Skills and Abilities

  1. Strong knowledge of financial and auditing policies, standards and procedures, cost analysis techniques, and accounts receivable and payable procedures and practices; established skills in fiscal management
  2. Proven ability to organize workflow and work effectively with a wide range of constituents in a diverse community.
  3. Demonstrated ability to understand and analyze a variety of numerical data sets (e.g. revenue and expense reports, workforce/salary reports, and budgets)
  4. Demonstrated skill in the research, development, and evaluation of policies and procedures related to fiscal administration
  5. Demonstrated ability to effectively interpret, organize, and present financial information
  6. Experience managing and mentoring team members in a collaborative team-based environment
  7. Excellent organizational skills to work effectively in a fast-paced environment with competing deadlines
  8. Excellent interpersonal and communication skills to establish and maintain cooperative working relationships within a diverse organization
  9. Ability to effectively use computer application programs and related computer software packages (e.g. Microsoft Office Suite: Word, Excel, database, internet)
