Job Summary
Under minimal supervision, provides clerical and administrative support for the department. Provides excellent customer service, answers telephones, and is a clerical support to staff. Performs clerical duties such as word processing, entering data for reports, preparing PowerPoint presentations, maintaining departmental files, and other similar duties. Attends departmental meetings, takes minutes and produces minutes in draft and final form. Assists in record keeping and general operations of the office. Assists in research through data collection as assigned.
Essential Functions:
- Acts as the point of contact for receiving information/calls from internal and external
customers/service providers to maintain office equipment/supplies, maintenance, environmental services, etc. and notifies the appropriate personnel. (15%) - Promptly responds to e-mail and voicemail no later than the end of the business day (15%)
- Works as a liaison with IT team to troubleshoot issues, manage phone tree. (15%)
- Compiles, transcribes and distributes minutes of meetings. (15%)
- Assists in the development and maintenance of department website. (15%)
- Arranges for the repair and maintenance of office equipment. (15%)
- Cllects and enters data in spreadsheets and databases for monthly reports. (10%)
Education:
- High School Diploma or GED Required
Work Experience:
- 1-3 years One year of healthcare or professional clerical experience required Required
Licenses:
Knowledge, Skills and Abilities:
- Excellent verbal and written communication skills
- Excellent interpersonal human relation skills
- Possesses excellent customer service skills
- Ability to multi-task and handle a high volume of tasks at one time
- Ability to work independently and be self-directed
- Skilled in organization and setting priorities
- Ability to use scheduling systems and coordinate meetings
- Ability to maintain adequate levels of office supplies
- Ability to compile, transcribe, distribute meeting minutes
- Proficient in data entry into spreadsheets and databases. Ability to create charts and graphs
- Knowledge of medical terminology
- Good troubleshooting and problem-solving skills
- Skilled at coordinating office services such as records management, moves, housekeeping, and maintenance

Salary $22.48 - $30.41 / hr
