The College of Natural Resources Research Office works closely with the Office of Contracts and Grants, Office of Sponsored Programs and Regulatory Compliance Services, the Office of Research and Innovation, the Office of Finance and Business, and granting agencies on all pre and post award activities. The
CNR Research office develops and submits grant and contract applications, processes and collaborates with negotiations, as well as the post award accounting management and overall grant oversight. |
Essential Job Duties |
We are looking for a skilled Administrative Support Specialist to join our vibrant Research Office team. In this role, you will provide essential administrative assistance to the Director of Research Administration, Associate Dean for Research, and various departments within the Research Office. As the first point of contact for visitors to the
CNR Research Office, you will play a key role in creating a welcoming environment and efficiently managing inquiries by directing them to the appropriate team members.
Additionally, you will support both pre-award and post-award research administration processes, ensuring our research projects run smoothly from start to finish. This position is ideal for someone with mid-level administrative experience who thrives in a collaborative, fast-paced setting and is eager to contribute to impactful research initiatives.
Key Responsibilities include but are not limited to: Front Line Office Support
- Greet and assist visitors to the CNR Research Office.
- Handle incoming inquiries and direct them to the right contacts.
- Share important information about office operations clearly and effectively.
Support for Leadership
- Manage ADR's calendar, schedule meetings, arrange travel.
- Organize and prepare correspondence, documents, and reports.
- Assist with ADR-sponsored events.
Research Consortia Support
- Process membership agreements and track payments.
- Coordinate consortium events and meeting minutes.
Pre-Award & Post-Award Support
- Manage Research Office website updates.
- Assist faculty with proposal documents (e.g., Biosketch, Current & Pending Support).
- Coordinate with SPARCS for project updates; serve as backup for PINS entries.
- Process financial transactions (vouchers, travel authorizations) and vendor onboarding.
- Support contract documentation and sub-award processing.
- Upload project reports to RED and generate data reports as needed.
McIntire-Stennis Internal Competition Support
- Organize and prepare application materials for ADR and Research Committee.
- Maintain scoring spreadsheets and notify applicants of funding decisions.
- Initiate PINS records for funded awards.

Qualifications
Minimum Experience/Education |
High School Diploma or equivalency and one year of related office experience; or equivalent combination of training and experience. |

- Demonstrates a proactive, customer-focused, and team-oriented work style.
- Quick to learn new processes and systems, adaptable to changes and organizational growth.
- Strong computer skills, including proficiency in Microsoft Office (Word, Excel) and Google Workspace (Drive, Docs, Forms, Sheets); experience using proprietary software and web-based financial management systems.
- Ability to establish effective working relationships with business and program teams.
- Excellent verbal and written communication skills, with a strong ability to organize and problem-solve.
- High attention to detail and ability to maintain quality work under deadlines.
- Skilled at analyzing and resolving unique issues that require research and interpretation of policies, procedures, and regulations.

Preferred Qualifications |
- Knowledgeable of sponsored research process and procedures.
- Experience submitting vouchers, travel authorizations and similar transactions.
- Experience creating and updating current and pending or similar documents for proposals.
- Working knowledge of PeopleSoft, Wolfpack Reporting System (PeopleSoft Financials), Research Administration & Reporting (RADAR), NC State's Project Modification Request (PMR) System or similar type research supporting software systems.
