JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Penn State College of Medicine, Center for Advancing Health Equity in Rural and Underserved Communities (CAHE-RUC), is seeking a Financial Specialist. The Center for Advancing Health Equity in Rural and Underserved Communities is a unique academic and community partnership committed to the comprehensive evaluation and implementation of evidence-based, community-level strategies to improve health outcomes for rural and underserved communities. With locations in Chicago and Hershey CAHE-RUC tackles a variety of complex public health and health system issues that require multi-disciplinary and multi-methodological approaches to achieve outcomes that benefit individuals and whole communities.

This position will be in the Chicago, IL office. The Center for Advancing Health Equity in Rural and Underserved Communities is seeking a Financial Specialist to work closely with leadership to analyze reports, project trends, and interpret the statements and reports of assets and operations; Coordinate annual audits, budgeting processes, and other finance related problems. This unique individual will possess previous non-profit experience in university settings and will be responsible for evaluating current accounting software and procedures and establish/direct necessary updates or improvements; Prepare End of Month adjustments/reconciliation for the various organizations associated with our team; Prepare monthly, quarterly, and annual statements and reports. The Financial Specialist will be highly trustworthy and be able to handle the highest level of confidentiality and possess references that are supportive and verifiable. Applicants must be detail oriented, have excellent organizational, analytical and communications skills and be able to handle multiple tasks and interact effectively with all levels of the company, vendors, and clients.

Responsibilities:

  • Enter all invoices submitted for payment, cut checks, submit to treasurer for signature, and prepare for mailing.
  • Balance checking account and investment accounts and submit reconciliation to Executive Director/Board President for signature.
  • Maintain the General Ledger, all postings and G/L kept in balance in Quick Books, QuickBooks online
  • Manage the payroll process and payments for payroll
  • Make and monitor deposits and checking accounts including online
  • Prepare monthly financial reports for the organization's board and individual teams.
  • Prepare monthly, quarterly and yearly payroll tax forms and make necessary deposits and prepare 1099 at year-end.
  • Prepare a yearly budget draft for review and adoption by the organization's board.
  • Finalize the year-end close in the G/L and prepare year-end financial reports.
  • Prepare for and cooperate with those appointed to perform a yearly audit of financial records
  • Record donations made during the annual fundraising drive and prepare quarterly donation statements.
  • Post donations weekly to general fund, building fund, special funds, and donor-designated funds.
  • Keep confidential all financial donation information.
  • Work on Grant Budgets and Justifications
  • Handle fund drawdowns, grant monitoring and reporting in PMS (Payment Management System) and submit reimbursement reports in EGrams.
  • Collaborate with program directors to develop program budgets and monitor spending to ensure alignment with organizational goals and objectives.
  • Perform grant-related post-award accounting functions, including award set-up in financial system, award budget distributions, expense analysis, non-standard and final invoicing, and financial
  • Manage income and expenses per project funding using corresponding accounting general ledger
  • Coordinate annual financial audit with external auditors and manages 990/AG990-IL tax returns

Competencies:

  • Knowledge of general and non-profit accounting methods, principles, and practices.
  • Hands-on experience in accounts payable and receivable.
  • Knowledge of trial balance, profit and loss statements, balance sheets and month-end processes
  • Ability to function as part of an interactive team while demonstrating initiative to achieve Center's goals and advance the Center's mission.
  • Excellent written accounting communications skills for grant financial reports
  • Attention to detail, communication, record keeping
  • Ability to make informed decisions and present reports to management and board members
  • Ability to develop strong working relationships with, and build consensus among, a diverse array of stakeholders within the organization and between the organization and community
  • Strong analytical skills and problem-solving ability
  • Ability to work well with faculty, program managers and researchers required

Minimum Education and Experience

  • Bachelor's degree
  • 3+ years related experience
  • Or an equivalent combination of education and experience

Preferred Education and Experience:

  • Bachelor's degree in accounting
  • Non-Profit experience preferred

The salary range for this position, including all possible grades is:

$61,800.00 - $89,600.00
