Position Highlights

The Department of Electrical and Computer Engineering (ECE) at the University of Arizona is seeking applications for a Student Services Administration Professional I, to support student success and program development for our new Computer Science and Engineering Graduate programs. The position is responsible for providing recruiting, academic advising, scheduling, admissions/enrollment management, and general support of the graduate programs in Computer Science and Engineering. The ideal candidate would collaborate closely with the ECE Graduate Advisor, as well as the ECE and CSE Undergraduate advisors to enable all academic advisors to advise students effectively.

The MS and PhD in Computer Science and Engineering will become available at the beginning of the 2024-2025 Academic Year. These degrees will be offered to Main Campus students and the MS degree will be available to Arizona Online students.

The ideal candidate will assist in the development and maintenance of the new MS and PhD Computer Science and Engineering degrees by serving as a point of contact for recruiting, admissions; managing student plans of study, petitions, and required milestone documentation; advising students on degree requirements; facilitating student-faculty advisor relationships; and working with the graduate studies committee and the graduate recruiting committee to establish program processes that are in alignment with the ECE Department and the Graduate College. This candidate will collaborate with the ECE faculty and staff to provide an excellent student experience that builds and strengthens recruitment, retention, and graduation goals for the new programs.

Duties & Responsibilities

Program Coordination:

  • Support the processing of graduate applications under supervision.
  • Help faculty committees with maintaining tracking systems for MS thesis submissions and distribute assessment forms following established procedures.
  • Assist the Administrative Manager by maintaining advising policies according to guidelines provided.
  • Support the coordination of scheduling for Doctoral Qualifying Exams following standardized processes.
  • Assist with the scheduling of PhD comprehensive exams and Final Oral Defense according to established procedures.
  • Generate and maintain lists of expected Fall, Spring, Winter, and Summer graduates.
  • Assist with processing standard International Student documentation: Letters of Support, I-20, GISALS, U.S Visa Process and coordinate with International Student Services office following established protocols.

Administration:

  • Assist with maintaining documentation of established procedures and workflows.
  • Assist with processing routine curriculum updates and course modifications by gathering and organizing required documentation for review by senior staff before submitting to curricular affairs for all Computer Science and Engineering graduate programs.
  • Maintain the allocation of Teaching Assignments given by the Department Head and Director of Graduate Studies for all Computer Science and Engineering courses, assist with tracking funding assignments from research faculty, and with basic data entry of TA/Grader responsibilities.
  • Help with preparing and administering exit surveys for expected graduates.
  • Help maintain standard program reports of graduate student data for faculty retreats, including new student enrollment for all campuses, and update trackers for current students, alumni, and doctoral milestones, MS Thesis, and PhD Comp/Final Oral Defense trackers.

Advising:

  • Support and assist with advising Computer Science and Engineering graduate students on policies, schedules, and degree requirements.
  • Under supervision work with students and their faculty advisors on GradPath forms to create Plans of Study for MS and PhD students, including those choosing to minor in Computer Science and Engineering.
  • Assist the advisors with creating Plans of Study for cultural sponsors, ROTC students, Independent Study, internships, and other career opportunities.
  • Collaborate with undergraduate advisors and faculty members to assist with planning and managing the Accelerated Master's Program.

Collaboration & Meetings:

  • Work with marketing staff to develop brochures and websites for new MS and PhD programs.
  • Event planning for graduate related affairs, including new student orientation for main campus and online graduate students, and open house sessions.
  • Participate in Graduate Studies Committee and Graduate Recruiting and Awards Committee meetings.
  • Coordinate College of Engineering Outstanding Graduate Student/ Outstanding Graduate Teaching Assistant selection with nominating faculty.
  • Attend relevant meetings and answer general questions at College and UA graduate coordinator meetings.
  • Participate in relevant department and college committees.
  • Engage in applicable professional development opportunities.
  • Assist with additional duties as assigned.
Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through professional level experience required.
Preferred Qualifications

  • Experience with applicable information processing systems used to manage applications and admissions as well as student record keeping.
  • Experience with using assessment data and data tracking.
  • Prior experience working with students.
  • Experience with University systems, such as UAccess.
  • 6 months previous experience serving undergraduate or graduate students in academic advising or other student-related services at the UA or similar higher education institution.
