Position Highlights

The Principal Lead, Operations position (Medical Education Program Professional IV) is indispensable to the Interprofessional Clinical and Professional Skills Center (ICaPS). As a vital liaison between ICaPS and the campus community, they bridge crucial connections and facilitate effective communication channels. They influence others within and outside of the job function regarding policies, standards, and processes.

Reporting directly to the ICaPS Director, their work is performed without appreciable direction. This role exercises considerable latitude in determining objectives and approaches. Thorough knowledge of all job functions and broad industry best practices, techniques, and standards, they play a pivotal role in supporting the implementation of Simulation Patient (SP) methodology, spearheading center expansion initiatives, and proficiently managing cutting-edge technologies for managing, scheduling, and recording student and all ICaPS activities. With expertise in CAE LearningSpace, Humanity.com, and Hive.com, they empower staff and SPs through comprehensive education on these platforms. Collaboration with curriculum directors, faculty members, and external stakeholders is not just important but integral to the success of ICaPS's mission.

This is an Extended Temporary Employment (ETE) position expected to last 6 months.

Duties & Responsibilities

ICaPS Management:

  • Establish and maintain strong relationships with internal and external simulation partners ensuring a strategic approach to management of Center including but not limited to scheduling, training, data analysis, event coordination and influencing faculty involvement in the Center.
  • Promote, publish, and present SP-based research at local, national, and international meetings. Use expertise to oversee clinic activities on LearningSpace, ensuring access to necessary information.
  • Collect, analyze, and organize data for clients in a manner that leads to expanded use of Centers services. Lead electronic record and data management at ICaPS, covering evaluations, usage stats, equipment details, and documentation.
  • Develop a Data Dashboard for ICaPS reporting, utilizing LearningSpace and other sources. Ensure data quality through staff monitoring. Enhance technology use, such as Humanity.com, for accurate scheduling and payroll auditing. Use Hive.com to meet deadlines for ICaPS team activities.
  • Approves time sheets for Standardized Patients. Supervise 1 employee and indirectly supervise 1 additional employee.

Scheduling:

  • Independently oversees quality assurance of all schedules and complex activities and events for multiple colleges falling under UAHS.
  • Ensures efficiency by managing ICaPS calendar, scenario training, teaching, testing, and daily tasks.
  • Assign SP hours and duties according to client needs and in alignment with budget. Ensure room availability, projections, and expectations.
  • Coordinate center room usage and track hours and participant usage.
  • Collaborate with UAHS Scheduling for accurate data tracking. Represent ICaPS in Humanity.com meetings and advocate for specific needs.

Training & Development:

  • Offer guidance and training for new operational resources as required.
  • Provide support and training to faculty, SPs, and staff across all UAHS colleges and beyond as necessary. Engage in training sessions. Lead process improvement projects and offer related training to ICaPS staff.
  • Ensure staff are trained in multiple tasks for comprehensive coverage.
  • Present innovative scheduling practices at professional conferences on behalf of ICaPS.

Software & ICaPS Software Support:

  • Conduct testing of the CAE LearningSpace system to ensure adherence to current specifications and stay updated on product information releases.
  • Lead software enhancement efforts, develop and and provide training to ICaPS staff on new scheduling and SP training.
  • Act as the liaison between ICaPS , software vendors, and UAHS IT for troubleshooting campus-related hardware and networking issues.
  • Possess a deep understanding of campus networking necessary for vendors, faculty, staff, and students to access essential materials.
  • Ensure accurate representation of student rosters from all UAHS colleges and additional clients in CAE LearningSpace.
  • Stay informed about emerging technologies impacting SP methodology and data capture processes.
  • Provides leadership, expertise, and guidance to the entire ICaPS staff on optimizing and enhancing software to improve performance across various job areas.
  • Serves as a subject matter expert for CAE LearningSpace, Humanity.com, and Hive.com.

Knowledge, Skills, and Abilities (KSAs):

  • Thorough knowledge of all job functions and broad industry best practices, techniques, and standards.
  • Exhibit's ability to transfer knowledge and application of complex principles, theories and concepts to peers. Capable of independently solving complex problems using both existing and innovative software to develop creative plans and systems that impact all ICaPS programs and projects.
  • Adept at communicating effectively with a wide range of internal and external stakeholders.
  • Well-versed in current and emerging technologies related to Standardized Patient management. Proficient in public speaking and delivering presentations to audiences of all sizes.
  • Demonstrates the ability to handle confidential and sensitive information with discretion.
Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through professional level experience required.
  • Eight (8) years of relevant work experience, or equivalent combination of education and work experience.
